Facilities Management Work Requests
Work requests are entered in an online form, which can be found at: myOkanagan—OC Express—Requests and Notices—Facilities Work Request
Please note: the same form is used for all work requests. Chargeable work requests must have a FOAPAL attached and cannot be processed until a FOAPAL is received. Please allow a minimum of seven days’ notice on work requests.
Categories of Work Requests
Emergency Repairs: Any unusual occurrence, utility malfunction or equipment failures which present imminent danger to life or health or has the potential for major damage to property, is an emergency and should be reported immediately to Facilities Management in Kelowna (KLO) by calling Security at 6699.
Routine Maintenance: This includes basic maintenance such as doors sticking, plumbing problems, replacing light bulbs, heating or air-conditioning needs, routine cleaning, snow and ice removal, or repairs to classroom furniture or fixtures.
Chargeable Service Requests: This includes services which are not related to regular or routine maintenance. This would include changes or extensions to existing services or changes in room function or convenience. These are typically charged to the requesting department.
Renovations: Please make requests through the Regional Dean’s office.
Estimates: Where detailed estimates are required, departments must submit a work request. Charges typically run between $200 and $500 and may take up to 5 working days.
Priority of Work Categories: Work will normally be carried out in the following order of priority:
- Emergency/Safety: including the protection of health and safety, repair of equipment essential to building operation, prevention or restoration of loss of function.
- High/Rush: includes those problems which can cause escalating damage to facilities and property or which detrimentally affect departmental functioning.
- Deadline: includes those problems which must be handled within specific time frames.
- Routine: Regularly scheduled and routine demand maintenance services. Routine maintenance requests which directly affect occupant comfort will be given priority over chargeable requests within this category.

Key Requests and Returns
Keys are requested via a form online, which can be found here:
myOkanagan—OC Express-Forms – Facilities Management—Key Assigning Application
- Keys are to be assigned and loaned to individual staff members only. (Not to departments or to students)
- Keys must be signed for and picked up in the Facilities Management Department in person only.
- Keys are not transferable. They must be returned to the Facilities Management Department at the end of the term of use. There will be a charge for lost or stolen keys.
- A staff member entrusted with a key must take great care of its security. Misplaced or lost keys must be reported without delay to their immediate supervisor and to the Facilities Management Department.
- It is the Supervisor’s responsibility to ensure that the staff member is familiar with this policy and returns all keys at the end of the assigned period.
- Each Department will, before the end of each academic year, confirm validity of authorization of each key issued for the following period.
- Keys are issued only upon presentation of an authorization form bearing all necessary signatures.
- No outside door key is issued with the exception of security and maintenance personnel, exterior key/card may be issued to others where there is a clear need to access the building after normal hours to conduct Okanagan College business and any exception to this rule requires authorization.
Bicycle Locker Rental
Facilities Management looks after Okanagan College's Kelowna Campus' 12 weather-proof bicycle storage lockers. These are available to students and staff to rent by requesting in person at the Facilities Management office, P Building. For full details, please see this link.
Proximity and Salto Cards
Proximity cards are requested via a form online, which can be found here: myOkanagan—OC Express-Forms – Facilities Management—Proximity Card Application
Salto is activated on Okanagan College ID Cards, which are obtained from Ancillary and Business Services.

Staff Parking Permits
